Visitors and enquiries

Businesses we contact about our service

We research companies from public sources such as their websites and Companies House, and may email their corporate addresses about our service. We keep company details, the contact route used, the date and any reply. Our lawful basis is legitimate interest. Every message tells you how to opt out, and we keep a suppression list so you are not contacted again.

Our clients' customers

When a client asks us to follow up their invoices, we process the contact details of people in their customers' accounts teams, the invoices concerned and a record of each contact. We do this as our client's data processor, only on their written instructions and under a data processing agreement. The client is the controller; questions about that data can also go to them.

Who else handles it

We use a small number of providers to run our email, phone, storage and website, and AI tools that help prepare drafts and reports: Purelymail (email), Cloudflare (website hosting) and Grok Bot (AI tools that prepare drafts and reports); we will update this list as we add providers. Each acts on our instructions. Clients approve these providers before we handle their data. Some may process data outside the UK under appropriate safeguards.

How long we keep it

Enquiries that don't lead to work: 12 months. Prospect records: until you opt out (then only on the suppression list) or 24 months. Client records: for the length of the agreement, then deleted or returned as the agreement says, except what tax law requires us to keep.

Your rights

You can ask to see, correct or delete your information, object to how we use it, or withdraw consent, by emailing [email protected]. If you're unhappy with our answer you can complain to the Information Commissioner's Office.
